Deleting latest version

    Deleting latest version

    Am I right in thinking that there is no way to delete the latest version of a document (the most common requirement I would think) but that you can delete a version in the middle of a series (a very unlikely requirement) ? Of course you can fiddle about uploading further dummy versions to allow the deletion but this will create gaps in the series and why should it be necessary anyway ?

    The intention of the options you see is that you would restore the required prior version, rather than just deleting the current version.

    When a prior version is restored, it will gain the latest version number, and in version history, that version of the document that you originally wanted to delete will now have a delete option in it's action menu.

    It's a little roundabout, but it does what you want without uploading any dummy versions.

    Thats right, the deletion of the highest version number causes the document and all versions to be deleted, its same as actually deleting the item from list/library.

    You can just restore the version you need to be the latest version but it will keep a record of the change, which is the whole point of versioning. If a version was simply deleted from the version tree, it wouldn't be very authoritive or useful as a version tree. Consider an example where someone puts the wrong figure in a document, which is then disseminated via MOSS. Then the mistake is spotted and the user simply deletes the last version. There would be no record of who had put the incorrect document out there and for how long, etc.

    I get the idea - so the suggestion is to keep the incorrect version ? My concern is that it is not clear in the list that the incorrect version is no longer a kosher version but an error. Presumably a comment added to the document deals with this ?

    To avoid any ambiguity, you could always add the option to Require Approval.

    Apart from the obvious extra step involved in publishing documents, this gives you the ability reject the current approved version, effectively giving you the ability to remove the latest version from view and put it back into draft, so that the previous version would then become the current approved version - if that makes sense?

    Yes, thanks. I could manage to get my head around that - although when I can understand the replies to my deleting icon post I'll consider I have arrived !
