Problem:

Client is a bit of a h@ck and wants users to be able to drag emails from their email client into a specified document library for archiving and prosperity purposes. Now the client does NOT want the system to be automated, rather the users need to be responsible for each email they want to archive.

We know the client is currently running Office 2003 (this will work for any email client) and has SharePoint Portal Server 2003.

Solution:

Here I will describe the simple manual solution, but you can use group policy to create the required shortcuts specific to each user and the teamsite to which they belong.

  • Create a document library in each team site / area specifically for email archiving purposes (we will call in mailsuck).
  • Go to the mailsuck document library and copy the URL (http://portal/sites/team1/mailsuck/) - leave out the forms/allitems.aspx bit.
  • Go to "My Computer", right-click and map a new network drive. In the dialog box that pops up, be sure to select "Connect to a Web Site...".
  • Paste in the link to the mailsuck library.
  • Now go to "My Computer" and copy the new networked web folder to the user's desktop.
  • Open the user's mail client and drag and drop an email message into the new shortcut.

Done!

As I said before, simple and with group policy you can automate it nicely. There is most probably an easy way to automate the copying of the user's email into the document library, but this was not the requirement; if you have done something similar please let me know.
